Pricing
Oficio Travel will use all reasonable efforts to maintain costs as quoted at the time
of booking but reserves the right to pass on as a surcharge any cost increase due to circumstances beyond its control. Quoted prices may be modified due to unexpected significant external factors not forecasted at the time of quoting, included but not limited to fluctuations in hotel accommodations, transportation costs (e.g., fuel); other airline-imposed surcharges; Government action, such as increases in VAT or any other Government imposed increases. Any modifications to a Customized Personal itinerary, including dates or number of people travelling, will require a revised proposal.

Booking
Due to extremely limited availability and volume of demand, we are only able to operate requests with an arrival date at least 30 days from of date of request.

Booking procedure, reservations and payment
Oficio Travel quotes and charges in Euros. Please note that if clients decide to pay in their home currency rather than the local currency (euros), a Dynamic Currency Conversion fee (DCC) will be charged by credit card companies on top of the current foreign transaction fees. This additional charge can double the currency conversion costs. Oficio Travel is not responsible for the currency exchange nor foreign transaction fees involved and will receive the exact quoted amount in euros regardless of these fees.

Unless otherwise specified, 30% of total cost of the trip is requested as deposit to confirm the booking, and this deposit will be used to prepay any services that require advance payment. Should cost of services requiring prepayment exceed 30% of the total trip cost, Oficio Travel may require a higher deposit to cover these payments. All services and itineraries, unless otherwise advised, should be prepaid fully 40 days before arrival. If bookings are made within 40 days of departure, full payment must be received immediately to secure and confirm a booking. For bookings 2,000 euros or less full payment is mandatory at time of booking. If other arrangements are required, Oficio Travel will consider them on a case-by-case basis. If payments are not made in a timely manner, Oficio Travek reserves the right to refuse to confirm the booking, or to impose a last minute reasonable fee to cover costs. Bookings including tickets only may include other fees.

Services will not be booked until payment has been made.

Oficio Travel works with Flywire to allow credit card, Paypal and bank wire transactions to be carried out safely.

The transmission of the data at the time of the transaction is made through a secure connection (SSL) that is outside the scope of Oficio Travel, as it is fully managed by the bank.

Once the transaction has gone through securely, we are notified by Flywire.

Oficio Travel does not have access to the data from the transaction and thus cannot store any information from it.

Accepted Credit Cards are American Express, Visa and MasterCard, with no supplement for credit card payments. The cardholder must be over 18 years of age, have the legal capacity to acquire the contracted services and understand these Terms and Conditions in their entirety.

Final documents. Final trip documentation will be sent via email 20 days prior to travelers’ arrival.

OFICIO TRAVEL CANCELLATION POLICY
Any party may cancel their booking at any time providing that they communicate the cancellation in writing to Oficio Travel. Postponing or rescheduling of a trip is considered on a case-by case basis but is in no way guaranteed. Postponing or rescheduling of a trip is subject to the cancellation charges below. No refund for unused portions of the trip, cancellations made after the trip has begun or early departures for any reason.

Between confirmation and 40 days prior to arrival: 20% of the total trip cost (less hotels) will be charged + nonrefundable expenses.

39 – 25 days prior to arrival: 50% of the total trip cost (less hotels) will be charged + nonrefundable expenses.

24 – 15 days prior to arrival: 75% of the total trip cost (less hotels) will be charged + nonrefundable expenses.

Less than 15 days prior to arrival: 100% of the total trip cost will be charged (*)

Should any traveler cancel, trip cost will vary accordingly and will incur additional costs for the remaining travelers.

(*) In case of cancellation of non-refundable prepaid expenses associated to the trip such as tickets or fast track entrance fees to sites, shows, experiences or transport that require advance-purchase, 100% cancellation fee may apply.

Accommodation reservations (hotel, apartment and/or villa) and airline tickets are subject to the properties’ and carriers’ refund policies.

Trip services cancellation
Cancellation of one or more services booked through Oficio Travel:

Between confirmation and 40 days prior to the service: 20% of the full cost of the service cancelled will be charged.

39 – 25 days prior to the service: 50% of the cost of the service cancelled will be
charged.

24 – 15 days prior to the service: 75% of the cost of the service cancelled will be
charged.

Less than 15 days prior to the service: 100% of the cost of the service cancelled will be charged.

Unforeseen circumstances Although Oficio Travel will make every effort to adhere to the itinerary, on rare occasions it may be necessary to make an adjustment to these arrangements.

Should such adjustment be necessary, a substitute will be offered when and where possible. If any unusual, unforeseeable or extraordinary circumstances beyond our control, including (but not limited to) war, riots, terrorism, fire, natural disaster, explosion, strikes, lockouts, slowdowns, prolonged shortage of energy supplies, plagues, epidemics and acts of state or governmental action prohibiting or impeding any party from performing its respective obligations under the contract (travel restrictions, quarantines, trade embargoes, closure of airports or seaports and borders) or any other event outside the control of Oficio Travel which affects the holiday arrangements, Oficio V&Y SL cannot accept liability for any resulting loss, damage or expense and any refund will be subject to deduction of applicable expenses. In case of force majeure and we need to cancel any travel arrangements, Oficio V&Y SL has the right to retain funds paid, to delay the delivery of the services or end the legal contract without legal intervention by informing of this in writing. Clients are not entitled to any damages unless this would be unacceptable according to measures of reason and fairness given the circumstances.

Insurance
Before travelling on a trip, we strongly recommend you review your personal insurance and health insurance to ensure you have coverage appropriate to meet your needs, and the needs of your family and dependants, in case of any loss of property or illness, injury or death. Oficio V&Y SL strongly recommends you buy trip cancellation/interruption insurance to protect yourself from unexpected circumstances that may cause you to cancel your trip. Please reach out to your Travel Advisor for an exact quote.

Consent, liability and indemnity COVID-19
By contracting Oficio V&Y SL  clients unconditionally and irrevocably agree to assume any and all risk associated with COVID-19. They expressly release Oficio V&Y SL of and from any and all claims, losses, damages, and expenses that any clients or related parties may suffer or incur if they become infected with or exposed to COVID-19 while traveling. Additionally, clients agree to familiarize themselves with local legislation and restrictions regarding COVID-19 and follow as written while traveling with Oficio V&Y SL.

Solvency & Liability
Oficio Travel is a privately held and debt-free company. Each trip payment we receive is deposited exclusively into that client’s trip fund and these monies are never used for alternative purposes. Certificates of solvency and liability insurance are available upon request. Hiscox SA hereby certifies having signed insurance contract for travel agency no TAEDS003098. The aggregate limit of liability established in the contract is: € 1.800.000
